Information on the protection of children and their parents/guardians in view of the processing of personal data

Please read carefully the following information regarding the processing of personal data in the context of your child’s attendance at our school, in accordance with the provisions of the General Personal Data Regulation 2016/679 of the European Union and Greek legislation.

Categories of Personal Data processed

Our school processes (receives, maintains and uses) the following categories of personal data:

1) Details of your child (surname, patronymic, matrimonial name, residential address, birth certificate, marital status, etc.), as well as other personal information provided for by the legislation in force at any given time (Male Registry or Census number, religion, nationality, etc.) .

2) Your identity and contact information (name, surname, patronymic, home address, telephone numbers, email address) as well as information required for the issuance of legal tax documents (A.F.M., D.O.Y., occupation ).

3) Details of your child’s education, provided by the applicable legislation (absences, awards, possible learning difficulties, etc.).

4) Information on the observance of the student’s Individual Health Card, provided for by the current legislation and the School’s Operating Regulations, as approved by the Ministry of Education.

5) Photographs and/or videos of your child while attending school as well as from educational, cultural and other school activities (competitions, exams, excursions, educational programs, etc.), provided that you give your consent to separate form).

Purposes and legal basis of processing
1) Your child’s registration, transfer and attendance at our school – including the child’s transportation to and from school, his participation in educational, cultural and other school activities as well as the issuance of a recognized certificate of attendance. The legal basis for the above processing is the compliance with the currently applicable educational legislation and the School’s Operating Regulations, as approved by the Ministry of Education, as well as the execution of the contract for the provision of educational services between us.

2) The issuance of the required tax documents. The legal basis of said processing is compliance with the current tax legislation, which requires the collection of your data and the VAT number for the issuance of a legal document and their observance for a certain period of time and their transmission to AADE.

3) Safeguarding the children and school facilities, collecting debts or dealing with any claims, as well as providing data to third parties for legal use. The legal basis for the above processing is, on the one hand, the school’s legitimate interest in the protection of persons and goods within the school, our legal protection, in the event of claims against our school and until the irrevocable, out-of-court or judicial resolution of the dispute, and , on the other hand, the legitimate interest of the third party to receive and use specific data, held by the school, for the defense of his rights before judicial authorities, always of course on the condition that the grant will be deemed by the school to be necessary and convenient for the satisfaction of specific purpose.

4) Our communication with you on issues related to your children’s education and informing you (and/or informing third parties, such as school graduates, parents interested in our school) about the school’s actions with newsletters (newsletters) sent to you via regular or email or mobile phone short message service (sms). The legal basis in this case is the legitimate interest of the school on the one hand to inform you about activities taking place within the school community and, on the other hand, to meet the duty of care for your child.

5) The use by your child and you – but also the school – as a souvenir of school life and the promotion of activities organized and implemented by the school of your child’s photos/videos, only with your prior express consent, which also constitutes the legal basis of said processing.

Recipients of personal data:
Processing is limited within the school and personal data will be available exclusively to our teaching and administrative staff, who are bound by an obligation of confidentiality.

Recipients of the data are

(a) δημόσιες αρχές (Υπουργείο Παιδείας και οι αποκεντρωμένες υπηρεσίες του, η Ανεξάρτητη Αρχή Δημοσίων Εσόδων, τα ΚΕΔΔΥ ή αντίστοιχοι δημόσιοι φορείς),

(b) judicial and prosecutorial authorities in case of claims or criminal acts,

(c) other schools (public or private) in case your child transfers,

(d) bodies with which the school cooperates on a case-by-case basis in the context of educational, cultural and other activities



Personal data retention time:

The above personal data will be kept for the time defined for each of them in the current legislation and, in the event of claims, for as long as is required for their irrevocable resolution.

After your child’s graduation, the school will keep your contact information for the purpose of informing and communicating with you about the school’s actions (e.g. events), unless the right to object is exercised,


Audio-visual material (photos/videos) of your child will be kept for five (5) years from the time it was taken, unless you withdraw your consent earlier, in which case it will be deleted immediately.


Photos/videos on the shillio’s Website may remain posted for a period not to exceed five years.

Rights of parents/guardians:

You can exercise the following rights at any time with your written request to the school:

(a) Right of access, i.e. to be informed as to whether the personal data concerning you and your child are being processed, to receive copies of this data as well as any other information regarding the processing being carried out,

(b) Right to correct and complete inaccurate and incomplete data,

(c) Right to portability for what data we process with the legal basis of contract, law and consent (see Section 2 above).

(d) Right to request deletion of data and/or limitation of its processing,

(e) Right of opposition:

(i) In sending updates by regular mail, e-mail or sms. In this case we will stop sending updates.

(ii) In the transmission of data to the cooperating insurance company that provides us with civil liability insurance. In this case, if you exercise the right to object, we will consider whether the reasons you cite, which must relate to your particular situation, outweigh our school’s interests in the transfer, which are mainly based on our obligation to respond to the duty care we provide for the duration your children are at our school, as well as whether there are alternatives to better protect the data concerning you and your children.

(iii) In the transmission of data to third parties for judicial use, always of course under the condition that the school judges, after weighing, that their provision is necessary and appropriate to support its (third party) rights before judicial authorities.

iv) In this regard, we inform you that in the event that the transfer of data is necessary for the establishment, exercise or support of legal claims judicially or extrajudicially, the legal interest of our school prevails and it is not possible to satisfy the right of objection that you may exercise.

f) Right to withdraw, at any time, the consent you have given for the processing of your child’s photo/video.

Also, in case you consider that the personal data, yours and your child’s, are affected in any way, you can submit a complaint to the Personal Data Protection Authority (www..dpa.gr) at any time.
